1998 PAYROLL UPDATE FOR ADVANCED ACCOUNTING 5.1

  This sheet outlines updates to Advanced Accounting 5.1's payroll and related modules from 1997 to date in three sections:

Updates must be prepaid (we accept VISA and MasterCard). The updates can be E-mailed to you as well as sent via first class mail with no further charge for freight or handling. To send via priority mail or Federal Express, there would be additional charges.

DECEMBER 1998 UPDATES:

 P/R option A (Enter/Chg Employees): New ^W (^=Ctrl key, i.e. press and hold Ctrl and then the letter; in the Windows mode, simply click on the button) and ^P options allow you to view the W-2 history or Pay history for any existing employee. Pressing ENTER when in a W-2 history list takes the user to a full screen display showing not only the W-2 details but also basic information about the employee as it existed as of the time that W-2's were run.

P/R option G (formerly Print W-2s, now Print W-2s & W-2 History): Updated menu option from which you can select "Display W-2 History." This latter program is the same one that is launched from P/R-A when doing a CTRL-W except here you can view any employee. Press F3 to search by employee last name or by year instead of by employee number. Press ENTER while in the list to see the full record, ESCape to exit the program. From this program option you also select the "print W-2" programs, both of which have been updated to meet the 1998 IRS changes (which include changes to Box 15 and elimination of the printing of "subtotal" forms). The "laser" version has been fully updated with the changes made to the continuous form W-2 program last year and now contains all of the same options (see 1997 updates). The laser version also now includes the ability to print as many copies as needed without having to re-run the program each time. Both W-2 print options also include the new ability to print the W-3 form automatically to the 1998 W-3 form which includes new boxes for contact person, telephone number, fax number and E-mail address. And both print W-2 programs now automatically save the W-2 information to a history file (only one record will be saved for a given calendar year for a given employee no matter how many times the program is run).

 P/R option N (Print Pay History): Integrated with the new W-2 employee history file so that if the user wants to view information for employees who were terminated in prior years, the program attempts to find that person's name from the W-2 history file.

 Special option L (Print W-2s on Magnetic Media): Updated for minor changes in the "2T" record. and various other user interface and internal enhancements.

PRINTING: For best results, we recommend printing W-2's in the DOS mode of Advanced Accounting. The reason for this is that in the Windows mode, the use of Windows print drivers makes it difficult if not impossible to ensure that the information will print to the correct positions on a pre-printed form. If you must print to a printer that cannot be printed to without a Windows driver, see the technical support memo on our web site ) that discusses "printing direct."

 TAX FORMS: These can be purchased from the provider of your choice. We recommend DYNAMIC SYSTEMS (800-782-2946 - indicate that you are an Advanced Accounting user). DYNAMIC has both laser and continuous W-2 and W-3 and a wealth of other tax forms. They are also one of the official check printers for Advanced Accounting.

 1999 TAX RATES/CHANGES: Before your first January payroll, you will need to update your tax tables and rates. Customers who are on an ADDSUM technical support plan (subscription and support service or tech support contract) will be able to obtain our yearly "year end closing procedures and payroll changes" sheet faxed to them upon request or of course may call us with any questions as a part of their support plan. For non-support accounts, this information is available subject to our usual "per call" rates. To the extent that there are state or federal rate changes that require program changes, payroll programs will be updated on an ongoing basis; however, to receive those updates, users would need to be on a 1999 subscription or subscription and support plan.

 YEAR 2000: Advanced Accounting 5.1 is year 2000 compliant. Consequently, the payroll module of Advanced Accounting is also year 2000 compliant. For a further description of how Advanced Accounting handles the year 2000, see the technical support memo on this topic.

 ADVANCED ACCOUNTING ADD-ONS CREATED IN 1998: Thinking of using an employee time clock? Data from Qqest Software's popular time clocks (ETC) can be imported into Advanced Accounting's payroll module in several different formats. In 1998 a generic ETC interface program was released. Interfaces for other ETC formats and for other time clocks are either available or can be created. For a software only solution, the Windows version of ADDSUM DAYKIT was released in 1998 which can track employee in/out times and which contains other human resource management features. Information entered in DAYKIT is completely integrated with Advanced Accounting's payroll system. Contact us for further information about these add-ons.

 1099's: At the time of the 1998 payroll update release, 1099's had not been fully tested although no changes to printed 1099 forms are anticipated (since there were no changes to 1099 forms of concern to Advanced Accounting users). There are changes that will need to be made to the magnetic media output. Users who will be printing 1099's should contact us in January to determine if any 1099 changes were made.

 

1998 UPDATES THROUGH NOVEMBER

 

P/R option A (Enter/Chg Employees): Updated for handling of Michigan state income taxes.

P/R option B (Enter Pay Info): New option when bringing in time card hours to have the system calculate overtime hours rather than keep separate in the time card file; updates for Missouri and Michigan

P/R option D (Print Payroll Checks): Check for duplicate check numbers, synchronize spacing with A/P checks, adjustment for printing on laser checks, formatting relating to when a check was voided, time card entries into history even when zero, resolve conflict between time card and regular pay rates.

P/R option F (Print Quarter Info): Update relating to FUTA/SUTA wage reports when there is a voided check.

P/R option N (Print Pay History): Updated so that the history of terminated employees can also be obtained (or excluded). Increase in sizes of fields for subtotals and totals.

P/R option M (Transfer P/R Taxes): Enhanced so that special, miscellaneous and user defined deduction cumulative amounts can be cleared out and not transferred.

P/R option Q (Enter Time Card Rates): Dramatically improved performance when the employee time card file begins to increase in size.

Special option B (Print P/R 941 forms): Delete any blank P/R G/L interface records automatically to prevent any FICA calculation problems.

 

1997 UPDATES

P/R option A (Enter/Chg Employees): On screen field indicates whether an employee has any "notes" as in other sections of Advanced Accounting. (You enter in notes by pressing ALT-F1 once an employee record has been retrieved. There is no limit to how many notes you can enter for a given employee.) Ability to show employee bitmap images (Windows mode only). Show number of employee records, automatically remove invalid employee numbers.

P/R option B (Enter Pay Info): Correctly recalculates pre-tax deductions if changed; option to stop normal other deductions for supplemental/bonus checks; update for calculation of workers compensation "G" calculation method; allow user the ability to input a check for a special deduction amount (e.g. employee advance) without requiring entry of other amounts; handling of invalid user entered tax table maximum amounts; resolve rounding problem when bringing in dollar amounts from time cards.

P/R option C (Print Payroll Reg): New, easier to read layout which also provides a calculation to assist in determining the federal income tax deposit amount for the register printed.

P/R option D (Print Payroll Checks): Formatting changes, compress dollar amount option, add pay rate to stubs, handling for new "F" fixed/rate accrual.

P/R option F (Print Quarter Info): New option to print a FUTA/SUTA wage list including 'excess' wage information; information can be obtained from the history file (i.e. even after a quarter has been 'cleared.').

P/R option G (Print W-2s): Extensive changes to the W-2 continuous form program to be able to handle two localities, gross wage option on local wages, user specified amounts for boxes 10 and 13 of the W-2 form.

Special option A (Print 1099 forms) (NOTE: this is not technically a payroll program but is an IRS related reporting tool so it is being included here.) Major updates including ability to output in magnetic media format for the most common 1099 form. Ability to review amounts and to use check history file or last year purchase amounts and to match 1099 type to vendor record.

Special option D (Print W-2s on Magnetic Media): Updated for position of medicare withholding amounts when generating file.

S/Y option D (Enter /Chg PR/GL Interface): New vacation/sick accrual rate option 'F' for fixed or flat per pay period to accrue hours at a flat rate.
